What Procurement Categorization is

ValueChaser Procurement Categorization builds a spend cube from a raw accounts-payable or ERP export. It normalizes supplier names, classifies each line to UNSPSC or your own taxonomy at L2 to L4, and returns the categorized dataset with a line-level quality report. No ERP or source-to-pay implementation is needed.

Input

A raw AP or spend export with one row per transaction line. Inconsistent formatting, missing fields and multi-currency files are handled.

Analysis

Supplier normalization, taxonomy mapping and four classification methods in a fixed order, with the method and confidence recorded for each row.

Output

The categorized dataset in Excel and CSV, plus a quality report covering field mapping, method distribution and uncategorized spend.

Who uses it

Procurement teams, consulting teams with a client dataset and private equity operating teams running PE portfolio diagnostics.

Turnaround

A run completes within 10 minutes. Analysis is generated in minutes, with completed client diagnostics available within 24 hours.

Evidence

European power utility (anonymized): 200,000 transactions classified to UNSPSC family level, 179 suppliers normalized, 100% categorization rate. See the case examples.

For consultants with a one-off client dataset

Upload the client's AP extract as received. The categorized dataset and the quality report come back within 10 minutes, and the report shows which rows to review first. ValueChaser generates the analytical foundation and leaves classifications, taxonomy and final recommendations with the practitioner.

The step-by-step method is in how to build a procurement spend cube without a new S2P platform.

Questions about Procurement Categorization

Does it classify to UNSPSC or to my own taxonomy?

Both. You can choose standard UNSPSC, the ValueChaser industry taxonomy or your own taxonomy, which is validated at intake and then applied.

Can it build a spend cube from accounts-payable data without a new system?

Yes. It runs on an AP or ERP export. Nothing is installed or integrated, and no source-to-pay platform is needed.

How many lines can it handle?

The examples on this site include files of 200,000 transactions. Deterministic rules apply the same way to each row, and supplier normalization runs across the whole file.

How do I check a classification?

Each row carries the method that classified it and the confidence. The delivered CSV shows the original source category next to the normalized category, so any row can be verified. The report recommends checking AI-classified rows first, sorted by spend.

What happens to inconsistent supplier names?

Raw vendor variants are consolidated into normalized supplier names, and the report shows the before and after counts.

Frequently Asked Questions

The Details you're looking for

How long does the analysis take?

Analysis is generated in minutes, with completed client diagnostics available within 24 hours. Run it yourself and the report arrives within 10 minutes. When our team runs your data for you, the completed diagnostic is delivered within 24 hours.

What do I need to provide?

It depends on the product. For Company Diagnostics, the minimum is audited financial statements or 10-K filings. You can also include sales pipeline data, vendor spend data, inventory reports, and operational metrics for the past 12–36 months for deeper insights. For Procurement Categorization and Procurement Insights, upload your raw AP or spend data. The platform automatically assesses your upload for completeness and accuracy, and provides a data quality score before proceeding.

How accurate are the recommendations?

Every recommendation is generated from analysis of your actual data, combined with proprietary industry benchmarks and domain-specific knowledge. ROI estimates are conservative and grounded in proven implementation results. All outputs are fully auditable and transparent— every insight is traceable back to the source data. No black box.

Is there a Human-in-the-loop?

The report generation workflow is fully automated for speed and consistency. However, human expertise is embedded throughout the platform design: industry benchmarks and domain knowledge are curated by subject matter experts, and all prompts have been designed and validated by experienced practitioners. A monitoring layer evaluates confidence scores and flags anomalies — if an insight falls below quality thresholds, it is escalated for human review. Outputs are audited regularly by domain experts to maintain quality.

How is this different from using a large language model?

A standalone LLM produces general-purpose text. The ValueChaser AI Platform orchestrates multiple AI models integrated with proprietary industry knowledge, domain-specific agents, and curated benchmarks to produce structured, auditable business intelligence. Our patent-pending process delivers deterministic, function-specific outputs — not open-ended AI responses. Every report follows a consistent analytical framework with traceable recommendations, editable Excel model(s), and executive-ready formatting. It is complete automation from raw data to finished deliverable.

Is my data secure?

Yes. At ValueChaser.ai, safeguarding client data is our top priority. The platform runs on SOC 2 Type II compliant infrastructure with AES-256 encryption at rest, TLS 1.2+ in transit, and GDPR-aligned data handling practices. All files are encrypted during upload, stored with strict access controls, and transmitted to our processing platform via encrypted API calls. Your data is not used for model training and is shared only with the processors listed in our Privacy Policy, under contract and solely to provide the service.
For one-time users, uploaded files and processing data are retained for 3 days after report delivery to allow for rerun requests, then permanently deleted. For subscription clients, raw uploaded data is retained for 30 days to support reruns and review, then permanently deleted. Failed or incomplete jobs are purged within 3 days. You may request immediate deletion of your files at any time by contacting support@valuechaser.ai.

What if my data is not good enough for reliable insights?

You only pay if your data passes quality checks. When you upload your data, the platform automatically runs a validation for completeness and accuracy, and generates a data quality score. If the data is incomplete, you will be shown exactly what is missing so you can correct and resubmit. If it meets the threshold, you proceed to your payment (for one-off users) or straight to report generation (for agreement clients).

As a CPA or Private Equity Operations leader or an Advisory Firm leader, I want to run this for my clients/ portfolio. What are the options?

Two agreements are built for exactly this. Pay As You Go is $900 per report with no minimum, invoiced monthly. Monthly Unlimited is $4,700 per month on an annual agreement for unlimited reports across all products. Both include 10 users, report history, isolated tenant hosting, and the option to have our team prepare, quality check, run and publish results in your portal at no extra cost. See our Pricing page, or go to www.valuechaser.ai/subscribe to get started.

When will the new products be available for other use cases?

We regularly release new products based on demand signals from operators, clients, and users — each developed with domain experts and curated reference knowledge. Visit our Products page for the current lineup and upcoming roadmap, or contact us to discuss co-development of new use cases.
